Graduate School Adjunct Faculty Checklist
Your contract will be issued from the Graduate Dean’s Office prior to the beginning of the semester. Please review your contract carefully. If you find errors or have questions regarding the adjunct contract, contact:

Your contract will indicate the amount you are to be paid for your teaching assignment. Deductions from the salary will consist of the regular legally authorized amounts for federal and state taxes, FICA, workers’ compensation and any other deductions specifically authorized by you in writing.
Payment will be issued to you in installments on the last day of each month that you are teaching. If you wish to take advantage of direct deposit, requests must be submitted to Payroll by the 8th of the month. A request form can be found on the HR website. Courses with fewer than six students will be cancelled or paid at a reduced rate at the discretion of the department.
In order to issue a contract, the following forms must be on file with the Human Resources department:
- I-9 form (Employment Eligibility Verification Form). The Federal Government requires us to complete this form within three days of your first class. This form must be filled out if this is your first teaching assignment with the graduate school or if there has been a lapse in service of three years or more. You will need to bring identification in order to complete the form. Possible options include:
- a passport OR
- a driver’s license AND a social security card OR
- a driver’s license AND a birth certificate
- If the above combinations of identification are unavailable to you, HR can provide you with information about other acceptable identification.
W-4 form (Employee’s Withholding Allowance Certificate). All new adjuncts must complete this form. Continuing adjuncts only need to complete this form to make changes to tax withholding information or if their last assignment with the graduate school was more than a year ago.
- Receive and review your contract. Questions can be directed to Robert Jackson, Business Systems and Operations Specialist, at robertjackson@lclark.edu. Robert’s office is in 215 Corbett.
- Complete I-9 and W-4 forms with the Human Resources office. Contact HR at hr@lclark.edu or 503-768-6235 to set an appointment.
- Set up a Lewis & Clark email account and access to your online rosters and grading.
- Email resume to your program office.
- Check classroom assignments and schedules in Self-Service by accessing the Faculty tile. Report any concerns to the program office.
- Complete FERPA training online.
- Order all textbooks from the bookstore at least two months before the start of the semester.
- Email syllabus to program office two weeks before class. Make sure it includes all required information outlined in the syllabus guidelines.
- Prep course materials. Make sure reading materials are available for students in advance of the first class session by ordering from the bookstore, placing on course reserves through the library or Moodle, or by making arrangements for copying through the program office.
- If you need a Moodle site for your course, set it up in advance of the class start date.
- If needed, get a parking pass from Parking and Transportation Services.
- For accreditation purposes, please consult with your program director to see what materials, such as samples of student work, may need to be collected during your course.
Take attendance in class every session and compare your list with the class roster. Report any discrepencies to the Graduate Registrar’s Office at gradreg@lclark.edu.
Allow Time for Business
You will need to plan on class time being used for the following:
- First class session: Please allow about a half hour for business discussions. This will include checking attendance with class roster, add/drop policy, program questions, etc.
- Last class session or toward the end of course: Please allow approximately 20 minutes for students to complete their course evaluations.
About halfway through your course, please do a formal check-in with your students and ask them the following:
- How are things going?
- What suggestions do they have?
If your students ask questions about registration or academic policies, refer them to the Graduate Registrar’s Office. Direct questions regarding licensing to the K-12 Career and Licensing Services office, or CTSP department office.

Technology
If you are on campus, you will need to use your LC username and password to log on to the LC Secure network.
If you’d like to forward your LC email to another account, you can follow the Gmail directions here.
Self-Service can be accessed using your LC username (without @lclark.edu) and password (the same ones you use for your email). If you forgot your password, you can change it here.

Campus Services
With an LC ID card (see “How do I get an ID card” below), you are able to access all campus resources, including the Watzek Library, computer labs, and exercise facilities in Pamplin. You are also eligible for reduced fees for certain offerings through the graduate school’s Center for Community Engagement.
Yes, all vehicles on campus are required to be registered at all times, and to have a parking permit during the fall and spring terms, Monday through Friday, 7am to 7pm. Parking is free on campus during the summer term. Your employment contract will outline and provide for a parking stipend if you are teaching on campus during a time when a permit is required.

You can register your vehicle, purchase a parking permit, and find more information about parking on campus on the parking and transportation webpage.
Using your 7 digit employee ID, (found in your employment contract) you can log-in to the copy machines in either of the workrooms on the 2nd, 3rd, or 4th floors of Rogers Hall. The passcode to access the workroom is 2415.
The Campus Safety Office issues ID cards to Lewis & Clark students, faculty, and staff. Your ID card can be used as photo ID, to access card reader controlled buildings on campus, in the libraries, and as proof of status for merchant discounts. You can get your ID by visiting the campus safety office in person. The Campus Safety Office is located just inside Entrance Gate 3 and no appointment is needed.
Yes, any travel that is required for college business can be reimbursed. This includes travel to site visits and conferences. Requests for reimbursement must be made within 60 days of incurring the expense. Contact your department coordinator to obtain a mileage log or travel expense report. Your employment contract is issued via the online HR portal, WorkDay.

You can use your LC email credentials to browse and borrow resources online at http://library.lclark.edu/. You can use your LC ID card to check-out books from the library on campus.

These can be found in Self-Service after you have completed the required FERPA training. More information on FERPA here: http://college.lclark.edu/offices/registrar/ferpa/ Double check the roster for the first few sessions to ensure everyone has registered correctly. Please contact the LC Bookstore at 503-768-7880 with the books you intend to use for your course. The Higher Education Opportunity Act (HEOA) requires that colleges have book lists available at the time of course registration in order for students to have access to the true cost of taking a particular course. HEOA states that book lists must be made available within reason. If you were recently hired or have not received your review copy of a text from the publisher, please let the bookstore know as soon as possible.
You will submit your grades online in Self-Service. You can find information about grading policies and step-by-step instructions here.
